Administrative Assistant

  • Salary: Up to £25,500 DOE

We are seeking an Administrative Assistant to join the team of a well know financial services in Durham. The ideal candidate will be the first point of contact for our clients, providing exceptional service and support. You will be responsible for a variety of administrative tasks, ensuring the smooth operation of our office environment.

Day to Day of the role:

  • Answer and direct incoming calls, take messages, and ensure communication is passed on effectively.
  • Welcome clients, providing a professional and friendly first impression.
  • Prepare refreshments for visitors, manage catering for meetings, and maintain cleanliness in meeting areas.
  • Handle incoming and outgoing post, including scanning, filing, and distribution.
  • Assist with kitchen duties and maintain stock levels for office supplies.
  • Perform administrative tasks such as producing letters, arranging meetings, and binding documents.
  • Manage portal publishing, ensuring all documents are filed correctly and assist with portal queries.
  • Handle bank letter requests and client-verified transaction requests.
  • Execute large mail merges and produce engagement letters, following up on outstanding items.
  • Submit accounts to Companies House and manage document uploads to relevant systems.
  • Order stationery and office supplies, monitoring costs and liaising with the Finance department.
Required Skills & Qualifications:
  • Proven administration experience.
  • Exceptional organisational skills and the ability to manage multiple priorities.
  • Excellent written and verbal communication skills.
  • High level of accuracy and attention to detail.
  • Initiative to solve problems independently.
  • Flexibility and proactivity in a dynamic environment.
  • Proficiency in Microsoft Office applications, including Outlook, Word, and Excel.
  • Desirable: Business Administration NVQ L3, business administration apprenticeship, or equivalent experience.
  • Beneficial: Experience in an accountancy practice and familiarity with Virtual Cabinet or similar document management systems.
