The International Institute for Environment and Development (IIED) is a policy and action research organisation promoting sustainable development and linking local priorities to global challenges. We are based in London and work across five continents with some of the world’s most vulnerable people to strengthen their voices in the decision-making arenas that affect them. With more than 150 members of staff working with associates and partners around the world, IIED has been at the forefront of evidence-based policymaking in sustainable development for over 50 years.

We are currently seeking for an Office Co-ordinator to join our team in Edinburgh on a permanent, full-time basis, working 35 hours per week (9am to 5pm, Monday to Friday).

Our Edinburgh office is a vibrant working environment and can support up to 25 people, although on a day-to-day basis, there are generally around eight of our colleagues working there. This is an exciting, full time office role, reporting into the Facilities and Operations Manager who is based in London.

This is a brilliant opportunity for an effective administrator with a strong IT background, good knowledge of Office 365, and especially the ability to work comfortably with Excel Spreadsheet. You should have a demonstrable ability to communicate effectively across the organisational divides and the ability to support the delivery of the responsibilities of the Facilities and Operations Team and the wider organisation.

The Role

As an Office Co-ordinator, you will assist with the smooth running of our Edinburgh office and provide the required support to the Facilities and Operations Team.

Providing a friendly and welcoming environment for staff, you will act as the first point of contact for all Edinburgh based staff, effectively dealing with staff requests relating to their working environment, including health and safety issues.

You will also provide IT support to staff, liaise with our IT provider, carry out staff building induction and training as will be required for new starters, ensuring that procedures are in place for onboarding of new staff. 

Additionally, you will:

- Ensure meeting room equipment is in working order
- Arrange Edinburgh based social functions for staff
- Process invoices and track payments
- Ensure up-to-date information is available on the SharePoint Facilities intranet site

About You

To be considered as an Office Co-ordinator, you will need:

- Experience in a similar service and administration and/or office support orientated role
- Experience providing support to financial administration processes
- The ability to set up, implement and maintain office systems
- Good knowledge of IT and Office 365
- Good written and verbal communication skills
- A proactive, flexible effective planner with a can do attitude
- At a minimum, A-Levels or an equivalent level of education or equivalent experience

Interviews are scheduled to take place w/c 3rd June 2024.

Although IIED is a hybrid working organisation, this is a full-time office based role and you will be expected to work from the office.

Other organisations may call this role Project Manager, Office Administrator, Office Manager, Administrator, or Operations Co-ordinator.
