We are looking for an Events Coordinator to join our lively team that manages a portfolio of face-to-face conference-exhibitions, roadshows and virtual events, for the largest primary healthcare media brands in the UK.

Our events range from small, bespoke events for individual clients to large conferences and exhibitions with up to 1,000 attendees.

The Role

As an Events Coordinator and working closely with the overall Operations Manager and Event Director, you will be responsible for the execution of conferences and exhibitions across the UK. As a team, we currently run 23 conference exhibitions, 1 Gala Awards ceremony, virtual events and ad-hoc roadshows/roundtables (likely to be c10 events in 2024).

The Primary Responsibilities for this role are:

  • Sourcing, negotiating and contracting with venues
  • Liaison with supplier including staffing, catering, audio visual, stand build, courier etc.
  • Liaison with sponsors/exhibitors' pre-event and post event
    • Creation and management of exhibitor online manuals
    • Provision of exhibitor logistics information
    • Provision of any exhibitor marketing comms
    • Collection of exhibitor attendee details
  • Management and updating of floorplans
  • Preparation of onsite event collateral (i.e. programmes, signage, bags)
  • Updating event budgets
  • Co-ordinating colleagues assisting with the event on the day(s) including travel
  • Creating running order/run of show
  • On-site attendance and management of show build / setup
  • On-site attendance and management of event live day (including registration, exhibition and conference)
  • Event attendance for some events outside of your direct portfolio
  • Assisting with sales, marketing and production teams as required

Skills and Experience:

  • At least 12 months experience in coordinating exhibitions and/or conferences
  • Excellent organisational skills and meticulous attention to detail
  • Good interpersonal skills in liaising with clients, suppliers and internal stakeholders and able to build relationships quickly
  • Team player
  • 'Can do' attitude
  • Proven ability to deliver deadlines and thrive in a pressurised environment, prioritising busy workloads and multi-task
  • Excellent written and verbal communication skills
  • Computer literate, especially MS Office
  • Flexibility to attend events around UK with overnight stays
