Our client, one of the most prestigious schools in the country, is looking for a 1st class Administration Assistant to provide dedicated, additional administration support to the Headmistress and her EA.

Reporting to the EA, this is a key role with a wide range of duties, which will include the production of accurate and clearly laid-out documents, complex diary and time management, maintenance of filing systems, minute-taking and other related tasks. The appointed candidate will be an efficient and accurate administrator who thrives in a busy environment.

Knowledge and understanding of the education sector would be an advantage but what is most important is someone who will bring their expertise, skills and enthusiasm to the role and always go the extra mile.

This is a full-time role, 37.5 hours per week, Monday to Friday, 52 weeks per year. Core working hours are 8:00am - 4:30pm, however there is some flexibility. Salary: £24,400 - £30,000 per annum, dependent on experience plus fantastic benefits.

Some of the duties will include

  • Provide a full range of administrative and secretarial support to the Headmistress and the EA to the Headmistress, producing accurate and clearly laid-out documents
  • Assist the EA to the Headmistress with the coordination of meetings, whether in person or virtual, for the Headmistress e.g. setting up meeting links/room bookings/catering requests etc
  • Take minutes for meetings as necessary
  • Arrange travel itineraries for the Headmistress, as required
  • Assist with hard copy and digital filing and record-keeping using a range of school systems, ensuring this is accurate and up to date
  • Work with the HR Department to ensure that filing is updated weekly
  • Assist with the management and organisation of Headmistress' events eg Back to School BBQ, pupil events, Christmas events
  • Assist with the management of the Headmistress' social media outlets
  • Assist with the creation and management of surveys and forms for the Headmistress, as required
  • Deal tactfully, sensitively and confidentially with staff, pupils, parents and visitors, . Provide wider School administrative support as needed.

Skills/Experience

  • Exceptional administrative skills

  • Able to remain calm under pressure and prioritise a busy workload, able to work to deadlines
  • Excellent team worker
  • Superb attention to detail
  • Ability to handle sensitive information and maintain strict confidentiality
  • Excellent working knowledge of Microsoft Excel, Word and Outlook. Experience of arranging business travel and schedules, Experience of complex diary management
  • Experience with databases and the ability to learn school management systems
  • Knowledge and understanding of a boarding environment is an advantage
