Job Title: Administrative Assistant
Location: London
Hours: 1 day per week (Adhoc)
Pay rate: £13.15 per hour

Overview:


Our client, a global beauty and cosmetics company, is seeking an organised and proactive individual to join our team as an Administrative Assistant. This role will encompass a variety of administrative tasks, including managing mailers, maintaining files, organising supplies, and assisting with influencer research in preparation for events. Responsibilities:

  • Mailer Management: Coordinate the preparation and distribution of mailers, including product samples and promotional materials, ensuring timely delivery to customers, influencers, and stakeholders.
  • Filing and Documentation: Maintain organised filing systems for important documents, correspondence, and records, both electronically and in hard copy, facilitating easy retrieval and reference as needed.
  • Cupboard Organization: Regularly tidy and restock cupboards and storage areas with supplies, ensuring adequate inventory levels and a clean, organised workspace for team members.
  • Influencer Research Support: Assist in conducting research on potential influencer and collaborators for upcoming events and campaigns, gathering relevant information and insights to inform decision-making.
  • Event Preparation: Provide administrative support in the planning and preparation of events, including compiling guest lists, coordinating logistics, and preparing materials, contributing to the smooth execution of events.
  • Communication and Correspondence: Draft and proofread emails, memos, and other communications as needed, maintaining professional and consistent communication with internal and external stakeholders.
  • Administrative Assistance: Support the team with various administrative tasks, such as scheduling appointments, booking travel arrangements, and managing calendars, to enhance productivity and efficiency.
  • Adherence to Policies and Procedures: Ensure compliance with company policies and procedures related to administrative tasks, confidentiality, and data protection, maintaining the highest standards of integrity and professionalism.


Key Skills and Qualifications:

  • Microsoft Office Suite (Word, Excel, Outlook) and other relevant software applications.
  • Excellent communication and interpersonal skills, with the ability to collaborate effectively with team members and external partners.
  • Resourceful problem solver with the ability to prioritise tasks and manage time efficiently in a fast-paced environment.
  • Previous administrative experience in a corporate or office setting preferred.
  • High school diploma or equivalent; additional education or training in office administration or related field is a plus.
