We are currently seeking a proactive and dynamic Administrator to join our client's team in Edinburgh. If you are highly organised, detail-oriented, and thrive in a fast-paced environment, then this could be the perfect opportunity for you. As the Administrator, you will play a vital role in providing generalist administrative support to key functions and the European Leadership Team at our client's headquarters.

Responsibilities:

  • Provide full administrative support to the European Leadership Team, ensuring smooth operations and efficient coordination.
  • Manage diaries and travel arrangements for six Directors.
  • Support the Executive PA as needed.
  • Assist with reception duties during lunch breaks and holidays.
  • Take charge of raising purchase orders and handling BACS requests for the ELT and their teams.
  • Update TMS and Holiday spreadsheets to maintain accurate records.
  • Manage meeting room bookings and organise refreshments and lunches for the ELT.
  • Facilitate the welcoming and seating of visitors and VIPs during busy periods.
  • Handle travel management for Directors and their teams, utilising both online portals and travel management company services.
  • Be available to assist other teams with administrative support as required.

Additional responsibilities:

  • Contribute to the Charity Committee, making a positive impact within the organisation.
  • Act as the minute taker during Committee meetings.
  • Demonstrate your commitment to health and safety as a First Aid & Mental Health First Aider.

Requirements:

  • Previous experience in a similar administrative role.
  • Excellent organisational and time-management skills.
  • Strong attention to detail and a methodical approach to tasks.
  • Ability to multitask and prioritise effectively in a fast-paced environment.
  • Proficient in Microsoft Office (PowerPoint, Excel, Word, Outlook).
  • Outstanding communication and interpersonal skills.
