Job Title: AIRE Business Support Administrator

Location: Homebased

Salary: £24,603 per annum, Increasing to £27,700 per annum following successful completion of a 6 month's probation period

Job Type: Full time, 12 Month Fixed Term

Closing Date: : 12th July 2024

We are currently looking for a Business Support Administrator to join our dedicated and compassionate Business Support Centre team, on a 12 month fixed term contract with the potential for this to be extended or made permanent.

The successful candidate will be team oriented with the ability to take a proactive approach with close attention to detail.

The scope of the role is to provide high quality and timely administration for the AIRE contract. The successful candidate will contribute to the overall success of the organisation in accordance with Migrant Help's aims and objectives. They will assist the Business support Centre with its core administrative function, providing effective support where required.

As the Business Support Administrator your duties would include:

  • Maintain an efficient up to date recording and monitoring system including assisting with data entry
  • Liaise with the Submissions & Regional teams regarding completed and returned documentation
  • Support with the timely and accurate allocation and recording of ASPEN cards in line with agreed processes
  • Ensure that the Asylum Support Forms (ASF) main spreadsheet is accurate and reflective of the current situation
  • Support with the management, monitoring and allocation of complaints in a timely manner
  • Circulate, update and file information received via email inboxes as appropriate
  • Maintain accurate records of invoices, delivery notices received from contractors and service commissioners including operational statistical information as directed by operational need
  • Monitor stationery, consumables, and office supplies, ordering on a regular basis
  • Ensure monthly petty cash return and other documents are posted timely to finance team
  • Participate in regular team briefings/meetings and take accurate records and be responsible to take minutes of external partnership meeting as required
  • Provide administrative support to other colleagues as and when required

The experience and skills you need:

  • Experience of general office and administrative duties
  • Experience of maintaining filing systems and databases
  • Good communication skills - verbal, written and listening
  • Ability to work accurately and systematically, demonstrating attention to detail

??What else to expect:

The Business Support Centre operates Monday to Friday 9am - 5pm, there may be occasions where you are needed to work outside of these hours so flexibility is required

This role is a homebased role, however there may be occasion where travel is required.
