Responsibilities:

Providing support to the General Counsel and Company Secretary with responsibilities that include:

  • Managing the scheduling and planning of Board and Committee meetings and maintaining their diaries.
  • Preparing meeting materials, such as agendas and action logs.
  • Following up on action items.
  • Assisting with the preparation of Board and Committee meetings as needed.
  • Monitoring the Corporate Office inbox.
  • Coordinating with Directors and members of the Board Committees.
  • Communicating with meeting presenters.
  • Compiling and performing quality checks on Board and Committee documents (e.g., format review).
  • Distributing documents to the Board and Committees, including uploading them to the Board Diligent portal.
  • Managing meetings.
  • Taking accurate minutes of Board and Committee meetings.
  • Handling Companies House and other statutory filings along with associated administrative duties (e.g., share allotments, changes in Directors' details).
  • Assisting in drafting Board resolutions.
  • Preparing, maintaining, and updating organisational structure charts, templates, and Corporate Office process flows.
  • Supporting the maintenance and updating of Board and Committee SharePoint and Corporate Office organisational data (e.g., intranet).
  • Regularly liaising with the leadership team across the Group in the UK, Europe, and globally.
  • Arranging the execution of documents and ensuring they are filed with the relevant authorities.
  • Contributing to the creation of presentations using PowerPoint and Power-BI visuals.
  • Coordinating and managing ad-hoc projects, as well as providing administrative support for long-term projects.
  • Assisting in maintaining and updating Corporate Office SharePoint and related organizational information (e.g., intranet).

Skills:

  • Strong organisational abilities, effective time management, and the capacity to prioritise tasks efficiently.
  • Proven experience in providing administrative support to a Company Secretary or within a Corporate Office.
  • Exceptional communication skills, both spoken and written, suitable for engaging with diverse audiences.
  • Proficiency in both spoken and written English.
  • Advanced proficiency in Microsoft Office applications, including Word, Excel, PowerPoint, Outlook, and Office 365.
  • A track record of thriving in collaborative environments while also being capable of working independently.
  • Excellent editing and proofreading abilities with a keen eye for detail.
  • Legal degree or ICSA qualifications (partial or full)
