About the Role:

We are seeking a dedicated and detail-oriented Client Services Administrator to join a well established business in the Financial Services industry. The ideal candidate will have experience in financial services and proficiency in Word, Excel, Salesforce, along with excellent phone manners. This role is critical in ensuring the smooth operation of client services and supporting our financial planning team.

Key Responsibilities:

  • Annual Planning Meetings:

    • Send out update packs.
    • Prepare for meetings.
    • Take notes during and after meetings.
    • Prepare the Financial Plan.
    • Oversee agreed follow-ups.
  • Group Scheme Renewals:

    • Oversee quotes for Group Scheme renewals.
    • Prepare Corporate Confidential Financial Reviews (CFR) and Suitability Letters.
  • Trust Forms:

    • Prepopulate and send out Trust forms.
    • Coordinate with providers to ensure correct logging of Trust forms.
  • Estate Planning Liaison:

    • Organise quarterly 'Estate Planning Days’ for clients.
    • Oversee follow-ups.
  • Protection Applications:

    • Obtain quotes for client meetings.
    • Assist clients with online applications.
  • Quality of Documentation:

    • Provide backup for CFRs, Suitability Letters, and advice sets.
    • Prepare point of sale packs.
  • Office Administration:

    • Oversee Letters of Authority (LOAs) with service providers.
    • Answer phone calls.
    • Scan and distribute post.
    • Manage the welcome screen.
    • Assist in meeting and greeting clients, including serving drinks.
    • Complete regulatory training and any other required tasks.

Skills & Competencies:

  • Proficiency in Word, Excel, and Salesforce.
  • Strong organizational skills.
  • Excellent communication and interpersonal skills.
  • Ability to handle multiple tasks and prioritize effectively.
  • Keen attention to detail and accuracy.
  • Competent in managing client interactions and maintaining confidentiality.
