Exam Access Arrangements Officer

  • Job Type: Full-time - Temporary Role
  • Location: West London
  • Salary: £15-20

We are seeking an Exam Access Arrangements to provide a proactive and supportive exams service to students and staff. The successful candidate will support the Examinations Officer with the effective organisation and administration of all internal and external examinations and assessments across various modes of attendance.

Day to Day of the role:

  • Adhere to and enforce JCQ/Awarding body rules and regulations, reporting any non-compliance.
  • Assist with training invigilators and staff to ensure compliance with examination regulations.
  • Maintain the MIS system as the primary source for examinations data, ensuring accuracy and timeliness.
  • Manage records on examining bodies’ websites and ensure they reconcile with the internal MIS system.
  • Organise and administer examinations for one or more awarding bodies.
  • Engage in the technological advancements of online examinations.
  • Submit entries to awarding bodies within deadlines and in adherence to regulations.
  • Set up, start, and finish examinations as per guidelines.
  • Liaise with the Timetable Officer for booking suitable examination rooms.
  • Notify students and staff of examination results, maintaining confidentiality.
  • Apply for access arrangements within published deadlines.
  • Receive and check examination certificates from awarding bodies.
  • Ensure the safe custody of examination papers/materials and supervise the despatch of scripts.
  • Manage the distribution of results and certificates to students.
  • Oversee examination fees and ensure they are costed to the correct department.
  • Check large data sets for published statistics.
  • Communicate regularly with examining bodies for special arrangements and problem-solving.
  • Advise staff on the College Examinations Policy and awarding body regulations.
  • Ensure administrative staff are aware of internal entry procedures.
  • Handle student and staff queries regarding examinations.
  • Comply with GDPR/Data protection policies.

Required Skills & Qualifications:

  • Experience in an examinations role or similar administrative position.
  • Familiarity with JCQ/Awarding body rules and regulations.
  • Proficient in using MIS systems and data management.
  • Strong organisational and administrative skills.
  • Excellent communication and interpersonal abilities.
  • Ability to work independently and as part of a team.
  • Attention to detail and problem-solving skills.
  • Knowledge of GDPR and data protection policies.
