Executive Assistant Operations Manager

We are looking for a proactive and highly organised Executive Assistant to provide comprehensive support to our executives, managing both personal and professional affairs. The ideal candidate will possess excellent communication skills, keen attention to detail, and the ability to handle a diverse range of tasks efficiently.

Hours 8.30-5pm - 5 days in the office

Responsibilities

- **Diary Management:** Manage the executives' calendars, schedule appointments, meetings, and events, ensuring optimal use of their time and prioritising tasks appropriately.

- **Communication Management:** Handle incoming calls, emails, and correspondence professionally and promptly, filtering and prioritising messages as needed.

- **Microsoft Office Proficiency:** Use Microsoft Office suite (Word, Excel, PowerPoint, Outlook) to create and edit documents, spreadsheets, and presentations, and manage email communications effectively.

- **Task Coordination:** Coordinate various tasks and projects, delegate where necessary, and ensure deadlines are met.

- **Business Support:** Provide administrative support for business activities such as preparing reports, creating presentations, and organising travel arrangements.

- **Personal Assistance:** Assist with personal tasks including managing personal appointments, household errands, and coordinating family schedules.

- **Meeting Arrangements:** Schedule and coordinate internal and external meetings, making all necessary arrangements, including venue booking, catering, and preparation of meeting materials.

- **Confidentiality:** Handle sensitive information with discretion and maintain strict confidentiality at all times.

- **Flexibility:** Adapt to changing priorities and assist with ad-hoc tasks as required to support the executives and ensure smooth operations.

**Requirements:**

- Proven experience as an Executive Assistant or in a similar role.

- Excellent organisational and time-management skills, with the ability to multitask and prioritise effectively.

- Strong communication and interpersonal skills, with the ability to interact professionally with individuals at all levels.

- Proficiency in Microsoft Office suite and other relevant software.

- High level of discretion and integrity, with the ability to maintain confidentiality.

- Flexibility and adaptability to changing priorities and environments.
