EXECUTIVE ASSISTANT
  
This is an exciting 3 month opportunity for an Executive Assistant to join a leading university at the cutting edge of diversity and inclusivity!
  
This is a 1:1 EA role supporting an extremely busy and driven Executive who travels extensively to Latin America which you will support the whilst there. You will be responsible for supporting the development of partnerships with universities globally and helping the Executive grow this.
You will be supporting with two major conferences assisting with the logistics and operations of the entire event including venue, managing speakers and being a main point of contact for attendees.
  
EXECUTIVE ASSISTANT ROLE:
  • Supporting the Associate Vice-Principal Strategic Partnerships by arranging international travel and managing a complex diary of conflicting priorities
  • Supporting logistical arrangements for international trips and overseas workshops for student recruitment, including arranging flights and accommodation, preparing trip itineraries and programmes, collating contacts, financial administration, and follow-up actions and outcomes
  • Providing administrative and secretarial service for meetings, including preparing agenda papers, minute-taking, following up on actions, and inviting and hosting external guests
  • Performing other administrative duties, including supporting equipment purchase and similar tasks
  • Supporting the production of reports, business papers, spreadsheets, presentations, and other documents
  • Undertaking financial administration, including procurement, raising purchase orders, and processing expense claims, ensuring compliance with financial regulations
  • Supporting the organisation of international and national events to raise the university’s profile
EXECUTIVE ASSISTANT ESSENTIALS:
  • Minimum of 3 – 6 months Recruitment Coordination or Recruitment Administration experience
  • Basic HR knowledge would be advantageous 
  • Experience with high volume administration – scheduling and coordinating would be a plus
  • Exceptional communication and organisational skills
  • High Attention to detail
  • Proficient in Microsoft Office
