Executive Assistant - Hybrid 6 Month Fixed Term to Permanent


Salary and Benefits:
* Up to £45,000pa
* 25 Days plus Bank Holidays and Opportunity to Purchase Additional 3 Days
* Hybrid Working (3 Days in Stratford Office - flexibility required)

My client is looking for a highly professional Executive Assistant to support their C Suite members and Senior Leadership Team.


The ideal candidate will have excellent organisational, planning and administrative skills, prioritising their own workload whilst maintaining a high attention to detail. You should be able to deal with ambiguity as well as possessing the ability to take own initiative and demonstrate good judgement,


The Executive Assistant is responsible to the Group Executive Office (Chief Executive Officer, Chief Finance Officer and Chief People and Operations Officer) and will maintain relationships both internally with all departments and externally with third party clients and companies. In order to do so, the individual must be a natural relationship builder with exceptional communication skills and able to maintain an enthusiastic 'can do' attitude in a calm, proficient manner whilst maintaining a professional image at all times.


Other essential skills include extensive knowledge and use of Microsoft Office 365 packages and other office productivity tools, with aptitude to learn new software and systems. Knowledge of HR and expense management systems would be advantageous.


The ideal candidate should also be educated to a degree level or equivalent and it is essential that the candidate has at least 5 years' experience in an EA/PA role with experience in the financial services industry.

Key Responsibilities include but are not limited to:
* Effective management and coordination of complex scheduling and extensive electronic calendar management, assessing priority of appointments, reallocation as necessary and logically prioritise on a forward-looking basis, whilst ensuring and using judgement to make the most effective use of stakeholder's time across multiple time zones if required.
* Manage incoming communications (email and phone) and taking proactive action wherever possible to resolve queries.
* Manage, co-ordinate and arrange travel and travel related activities, including hotel bookings, transportation, meal co-ordination and meetings in accordance to Group policies.
* Co-ordination and management of meetings (e.g., internal/external meetings, client dinners, client and team events)
* To act as secretariat where required ensuring accurate and concise minutes are recorded
* Offer support for the creation of presentations on behalf of the Senior Team which can be positioned at a variety of levels e.g., Exec, Board, external bodies etc.
* Maintain an effective filing/record retention system (paper and electronic).
* Expenses and invoice management in accordance with Group procedures
* Manage, drive and monitor all agreed/delegated people administration related activities for relevant Senior Leadership Team members and/or Director such as but not limited to holiday approvals in line with agreed policies, expenses, sickness and other absence etc.
* Flexibility to undertake any other specialist/ad hoc projects as required.
* Lead and contribute to office management projects as required.

Key Competencies include:
* Excellent ability to prioritise and pre-empt stakeholder requirements.
* Evidence of an ability to "think creatively" and generate and implement solutions.
* A natural communicator with excellent interpersonal, Diplomatic, written, and oral communication skills with an ability to implement and make decisions without direction and has the confidence in working with senior/executive colleagues, stakeholders, and external clients at all levels.
* Well placed sense of judgement, with the ability to always exercise absolute discretion and confidentiality
