Executive Assistant - Advertised by OA London Bridge

Are you an enthusiastic, proactive self-starter with exceptional organisational and administrative skills? Do you thrive in a busy, fast-paced environment, managing multiple tasks and complex diary planning?

Our client, a vibrant, well regarded and dynamic trade association is seeking an experienced Executive Assistant to provide high-level support to three Directors within their senior leadership team. As an integral member of their team you will play a crucial role in ensuring the smooth running and productivity of their departments.

Key Responsibilities:

  • Proactively manage and maintain the Directors' diaries, coordinating their schedules and understanding their hybrid working arrangements
  • Assist with the planning and preparation of meetings, including Board, Committee, and Senior Leadership Team meetings
  • Make travel and accommodation arrangements, ensuring all necessary details are provided in advance
  • Act as a point of contact for internal and external stakeholders, handling queries and ensuring prompt resolution
  • Draught and edit reports, presentations, and other communications on behalf of the Directors
  • Organise departmental and team meetings and events, including virtual and in-person socials
  • Provide project management support when needed, tracking progress and ensuring timely completion of tasks
  • Support other members of the departments and other departments as agreed with the Directors
  • Undertake additional tasks as requested by the Directors

Required Skills and Experience:

  • Previous experience supporting Senior Management
  • Excellent organisational skills
  • Strong interpersonal and communication skills
  • Proficient in Microsoft Word, PowerPoint, and Excel
  • Strong administrative skills, including diary planning and minute-taking
  • Problem-solving skills, with the ability to anticipate and resolve issues using your own initiative
  • High level of professionalism and discretion
