Location - Thanet

Hours - 30 hours per week increasing to 37 hours per week in January

Pay - £16.87 per hour - Monday to Friday

Temp Contract covering Mat Leave

Are you an experienced professional with a keen eye for detail and exceptional organisational skills? We are seeking an Executive Support Coordinator to join our client based in Margate to deliver high-quality, proactive support services to Directors, Leader, Deputy Leader, Chairman, and Vice Chairman. This role ensures their strategic activities are executed effectively and service delivery is optimised.

Key Responsibilities:

  • Provide central coordination and administrative support to Directors
  • Manage calendars, schedule appointments, and arrange meetings, including coordinating refreshments and presentation equipment as needed
  • Maintain systems and processes to ensure consistent high-quality service
  • Handle all incoming and outgoing correspondence, including emails and postal mail, ensuring timely and accurate responses
  • Prioritise and address public inquiries, liaising with Directors and officers for detailed responses
  • Prepare background papers and meeting agendas, ensuring all necessary documentation is available
  • Offer administrative support during meetings
  • Resolve customer inquiries and phone calls, maintaining high standards of customer care
  • Manage and update databases and other systems
  • Oversee the handling of corporate complaints and compliments, ensuring adherence to best practices and timely resolution
  • Guide new staff on complaints handling and case management systems
  • Coordinate responses to FOI/SAR requests, ensuring deadlines are met
  • Administer financial activities, including processing payments and orders
  • Provide cover during staff absences and undertake additional duties as required

Required Skills and Attributes:

  • Strong understanding of local government and political awareness
  • Proficient in IT, including email and calendar management; experience with Google applications is a plus
  • Exceptional organisational and communication skills, both written and verbal
  • Demonstrated ability to manage complex diaries and adapt to changing priorities
  • Quick learner with a focus on efficiency and accuracy under pressure
  • Excellent customer care skills, with the ability to handle sensitive information confidentially
  • Ability to work independently and collaboratively, developing positive relationships at all levels
  • Proven experience in managing complaints effectively, both verbally and in writing
