A Law firm in London are looking for a Head of Facilities to join the firm.

Key Responsibilities:

Facilities Management

  • Day to day management of the Office Services department which encompasses Reception & Hospitality, General Office department, Archiving and Facilities Management (10 direct reports including team leader).
  • Day to day management of facilities maintenance for London including providers / suppliers of all services (Air Conditioning, general electrical, lighting, plumbing and leak detection etc.).
  • Space planning for new joiners and departmental moves including production of office plans.
  • Work with the COO, Projects and Facilities teams to provide operational support relating to any physical moves / relocation projects, including external moves / internal reconfigurations and working with external third parties (e.g. designers, builders, agents etc), and preparing detailed planning schedules as needed.
  • Annual budget responsibility for office and facility services.
  • Creation and track of annual business plan and departmental objectives.
  • Health and safety representative for the firm reporting any accidents/injuries to the HSE in line with RIDDOR.
  • Carry out annual general risk and fire risk assessments.
  • Bi-weekly Health & Safety and fire evacuation induction (new joiner onboarding).
  • Communicate and facilitate regular fire evacuation practices.
  • Management of fire wardens and responsible for the recruitment of volunteer fire wardens - reporting to the landlord following evacuations.
  • Head First Aider and responsible for the recruitment and training of volunteer first aiders.
  • Lead DSE assessor responsible for specifying and ordering ergonomic furniture and equipment.
  • Management of office security including access control.
  • Ensure all areas of the office are kept clean and tidy and operate efficiently.

General Management

  • Point of contact for all landlord enquiries relating to the day-to-day operation of the office space, attend regular landlord meetings and advise on any impact to office space.
  • Responsible for the day-to-day management, coordination and contract management of building management services and external contractors / suppliers.
  • Monitor service levels, negotiate contracts, and ensure deliverables meet quality and cost standards.
  • Develop and manage the Facilities and Office Services budget, including forecasting and tracking expenses related to maintenance, repairs, renovations, and other facility-related projects.
  • Management of the new Staff social hub and associated catering offering.
  • Keep the COO regularly updated with issues relating to the buildings.

Team Leadership

  • Provide leadership and direction to the Office Services Team Leader and wider team to enable them to deliver in a consistent and structured approach.
  • Foster a collaborative and inclusive work environment, promoting professional growth and development.

Skills and Experience

  • Previous experience as Head of Facilities, preferably in a law firm.
  • Experience of office moves/refurbishments is an advantage.
  • Project management experience.
  • Experience of procurement and budgeting processes.
  • Knowledge of building systems, maintenance and construction practices.
  • Knowledge of health and safety regulations and compliance.
  • Have a current office Health & Safety qualification.
  • Have a current First Aid qualification.
  • Flexible and willing to travel to Leeds when required (approx. every 2-3 months).
