Stannah is experiencing an exciting period of growth and digitaltransformation. The IT department is key to supportingthis, therefore it is a great time to join a dynamic team in a newly created role as the IT Purchasing and Vendor Management Assistant.

The new role of IT Purchasing and Vendor Management Assistant will have a variety of responsibilities. These will include the processing and tracking the purchase of goods and services on behalf of the IT department, coordinating with the Finance department and external suppliers. You will also be involved in managing our IT vendors, for service, support, and licencing agreements. Other aspects of the role will include contract negotiation, under guidance, maintaining accurate databases and records, as well as producing reports. This is a hybrid job, ideally working from our Andover Head Office 1 or 2 days a week, although there is some flexibility

To be successful in the IT Purchasing and Vendor Management Assistant job, you will be a self-motivated team player who is a confident communicator. Previous procurement experience, particularly raising purchase orders, is essential. Experience within IT purchasing, and vendor management, is desirable

Job Responsibilities

  • Obtain initial quotes from vendors for hardware, software, and licences.
  • Raise and manage IT purchase orders, ensuring accuracy, compliance, and timely fulfilment.
  • Maintain and update databases with vendor information, purchase orders, and contracts.
  • Resolve invoice discrepancies
  • Maintain vendor relationships, coordinating and documenting regular reviews.
  • Negotiate contracts under manager's guidance, focusing on cost reduction and quality assurance.
  • Provide service reporting on licences, contracts, and renewals.
  • Monitor software licence compliance and identify cost-saving opportunities.
  • Maintain hardware and software asset management databases with accurate data entry.
  • Update hardware and software catalogues.
  • Organise documentation and liaise with Project Managers to meet deadlines and manage access permissions.

Job Requirements:

  • Previous procurement experience or knowledge of purchasing processes
  • Proficient in Microsoft 365 (Excel, Outlook, Word, PowerPoint)
  • Ability to manage relationships with external vendors or third parties
  • Experience of Hardware and Software Asset Management processes (desirable)
  • Ability to analyse and interpret data, draw conclusions and make reasoned recommendations
  • Experience of working within the ITIL framework (desirable)
  • IT Asset Disposal process (desirable)
  • Methodical approach, attention to detail and accuracy of recording information
