Junior Estate Manager - Residential Building

Our client is currently seeking an experienced Junior Estate Manager to join the team at a luxury development in the South East London.

The shift pattern will be Monday to Friday 9am-5pm, 2 days working from home.

Main Duties and Responsibilities include:

  • Providing administrative support as required by the Estate Manager and Board
  • Carrying out frequent inspections in the communal areas to ensure all riser cupboards remain clear of waste, all hallways free of trip hazards, all lights are working etc.
  • Dealing with first line, non-complex resident queries relating to service charges, maintenance, or repair issues
  • Taking photos of the issues highlighted by residents or Estate Manager for contractors or escalation.
  • Attending properties when a maintenance issue is raised and providing enough information to the Estate Manager to determine whether it is a demised issue or a Block issue
  • Arranging for approved contractors to attend estates to deal with minor maintenance/repairs
  • Contacting leaseholders to arrange access (for example, AC servicing, leak locating, fire alarm servicing, fire door inspections etc)
  • Updating trackers (Concierge Leave Trackers, Overtime Trackers, Southwark's Notices Trackers, Complaints, Maintenance, Noise Complaints etc)
  • Updating our Contractors Spreadsheet for the OOH service and Concierge
  • Forwarding invoices for payment for approval by Estate Manager
  • Ensuring any notices issued by the Estate Manager are presented in suitable locations around the Estate and via relevant portals.
  • Assist with Preparing Sales Packs based on templates provided.
  • Escalating matters to the Estate Manager when required.
  • Ensure that relevant permits are issued to all contractors upon their arrival.
  • Assist with enforcement of estate policies issued by the Freeholder and Estate Manager
  • To build good rapport with the Tenants, property owners and respond promptly to their needs and to ensure that a log is maintained of all reported repairs, complaints, and queries.
  • To understand and know how all buildings operate individually with all aspects of technologies in place such as access control, ventilation system, emergency procedures, lifts operations etc.

Skills

  • Excellent command of verbal and written English
  • Good inter-personal skills
  • Neat, professional appearance, to comply with the Estate Dress Code
  • Good computer skills; Good Microsoft Office Skills
  • A positive, proactive, 'can-do' attitude
  • To be familiar with the use of CCTV, Data Protection Act 1998, Data Sharing
  • Previous Experience in Estate Management/Property Management (desirable)
  • Knowledge of Landlord and Tenant Legislation (desirable)
  • Ambition to achieve Associate status in The Property Institute
