Salary - Up to £30,000 (Depending on experience)

Monday to Friday - 9am - 6pm Can be flexible with hours or school hours

Embark on a dynamic role within the property sector as a Lettings Coordinator, positioned in the charming location of Weybridge. As the support of a bustling team, the chosen candidate will play an essential role in maintaining the smooth operation of the lettings process. Prior experience in a letting’s environment is essential, individuals with a background in renewals or tenancy progression will be preferred, but this experience is not essential for this role.

Tenancy Progression

  • Setting up tenancy files and liaising between landlords and tenants.
  • Sending out offer letters.
  • Referencing applicants via Canopy.
  • Undertaking ID checks, Right to Rent checks and anti-money laundering (AML) checks.
  • Drawing up tenancy Agreements, invoices and other supporting tenancy documents and sending these out via DocuSign.
  • Drawing invoices and other supporting tenancy documents.
  • Checking of compliance documents and safety Certificates and ensuring these are saved to our system.
  • Arranging Gas Safety Checks, EICRs, Energy Performance Certificates (EPCs).
  • Liaising with inventory clerks to book check in appointments.
  • Liaising with cleaners to book professional cleans.
  • Updating VT OpenView system and office spreadsheets.

Renewals

  • Liaising between landlords and tenants to negotiate renewal terms.
  • Drawing up renewal documents and sending these out via DocuSign.
  • Checking of compliance documents such as ID, Right to Rent, Anti Money Laundering documentation, and safety Certificates.
  • Updating our system and office spreadsheets.

Ad-Hoc

  • Other ad hoc office administrative duties to include:
  • Keeping the weekly available property list updated.
  • Drawing up other legal tenancy documents such as deed of surrender, change of payment date memorandums, addendums, early release terms.
  • Serving of leal notices.
  • Drawing up and sending out T&Cs and Agency Terms via DocuSign.
  • Adding properties to VT OpenView system.
  • Ordering professional photographs and floorplans.
  • Checking the Key Log.
  • Occasional help with viewings.
