Office Coordinator
  • Annual Salary: £28,000 - £32,000
  • Location: Cambridge
  • Job Type: Full-time, 6 months fixed-term contract
  • Working days and hours: Monday to Friday, office based, either 8:30 -17:00 or 8:45 – 17:15 (37.5 hours per week)

Cambridge Business Support are working with the University of Cambridge. They are on the lookout for an Office Coordinator to become the welcoming face of their vibrant team. This role is perfect for a dynamic, self-motivated individual who is passionate about creating exceptional experiences and thrives in a customer-focused environment.

Day to Day of the role:
  • Serve as the first point of contact for all visitors, providing exceptional customer service and a warm welcome.
  • Maintain high standards of presentation in the reception area and throughout the building.
  • Manage incoming calls, visitor sign-in system, and adhere to fire safety protocols.
  • Coordinate bookings and enquiries for the seminar centre, taxi, and courier services.
  • Oversee car parking reservations and ensure the external areas are well-presented and safe.
  • Organise refreshments for visitors and meetings.
  • Handle multiple inboxes, update key documents, and perform ad-hoc office administration duties.
  • Maintain kitchen standards, perform daily building checks, and manage stock levels of consumables.
  • Support the building’s recycling policy and environmental initiatives.
  • Assist with setting up seminar rooms for events and support audio-visual requirements.
Required Skills & Qualifications:
  • Proven organisational and multitasking skills, with the ability to prioritise workload efficiently.
  • Conscientious and diligent with great attention to detail.
  • Experience in a customer-focused role with a commitment to excellent customer service.
  • Proficiency in Microsoft 365 applications.
  • Quick learner of systems and online tools, particularly electronic record-keeping systems.
