Executive Assistant
  • Location: Milton Keynes
  • Job Type: Full-time
  • Working hours: Monday to Thursday, 07:30 am to 4:30 pm; Friday finish at 3:30 pm.

We are seeking an Executive Assistant to provide comprehensive support to our Operations Director and QHSE Manager. This role is crucial in enabling our directors to focus on strategic tasks by managing administrative duties efficiently. 

Day to Day of the Role:
  • Handle and respond to all correspondence, including phone calls and emails, for the Director.
  • Schedule appointments and organise diary entries, setting reminders for important tasks.
  • Make travel and hotel arrangements, including car hires for directors and teams.
  • Attend meetings, take notes, and chase action points.
  • Participate in first interviews to take notes when required.
  • Approve expenses and annual leave for the team.
  • Support the wider team with ad hoc requests.
  • Assist the QHSE Manager with administrative tasks, such as updating the H&S database, monitoring equipment lists, updating the Document Register, and processing NCRs.
  • Run weekly reports, chase outstanding training, and upload certificates to the database.
Required Skills & Qualifications:
  • Demonstrates honesty, integrity, resourcefulness, and a sense of humour.
  • Highly efficient and organised with excellent IT skills.
  • Ability to maintain confidentiality and be a proactive and reactive team player.
