We are excited to be recruiting for a dedicated PA to join a small friendly company based in Cambridge city centre. As a key member of the team, you will have the demanding yet dynamic and fulfilling role of supporting the CEO office with any administrative tasks, so the ideal candidate will be highly organised, level-headed and able to work well using their own initiative.

Reporting to and working closely with the EA, you will be providing PA support to a successful biomedical investor / entrepreneur on his commercial activities as well as carrying out various family management & private PA tasks.

Initially this role will be covering maternity leave for 12 months before progressing to a permanent role thereafter.

There will be times when you need to be flexible in terms of your work hours due to events etc.

Duties & Responsibilities of the PA:

  • Diary management: Ensuring that the CEO and Portfolio Manager are fully prepped for meetings; coordinating investment & board meetings; co-ordinate attendance for networking events and meetings; booking of transport and accommodation for both business and personal trips, and undertaking ad hoc personal errands
  • Reception: screen calls, review emails to action, welcome visitors, sort mail correspondence, book & prepare meeting rooms and collate the relevant materials and manage any post.
  • Office management: filing corporate records, managing contractors for maintenance etc, managing alarms, ordering office supplies, managing the computer system, manage the company bank account (including tax returns and working with the accountant), sending and payment of invoices, and basic bookkeeping.
  • Event Planning: coordinate between stakeholders, vendors and venues for business and family events, manage budgets and payments, ensure quality standards and feedback assessment post event, coordinate and manage the diary for events in the festive period and organise company gifts and greeting cards.
  • Filing management: maintaining HR files for each area of the business, filing invoices and agreements, meeting minutes and filing of EIS and Share certificates.
  • Family management (for maternity cover only): liaising with the housekeepers, and family members when required, helping with insurance & healthcare, event organisation, ensure the smooth running of utilities and maintenance and manage the utility bills for each property.

What you will need to succeed as PA:

  • Previous PA / secretarial experience is required.
  • As it is a small company someone that can 'muck in’ and be flexible is key
  • A pro-active and dedicated team player with meticulous organisation skills, and solid communication skills
  • Discretion, punctuality, computer literacy, and self-discipline
  • You will be working alone at times and therefore need to be able to be self-motivated and able to use their own initiative
