Position Overview: An opportunity has arisen for a Part-Time Archivist (Job Share) to join the team. This role will be responsible for managing the archiving process, ensuring compliance checks, and maintaining accurate database records in relation to file storage and retrieval.
Key Responsibilities: • Ensuring all files sent for closure undergo relevant compliance checks and protocols. • Updating databases and client management systems to reflect closed/reopened matters and file storage status. • Liaising with storage partners regarding file collection and delivery. • Managing and recording all file retrievals and coordinating with the relevant storage partner. • Reopening files when instructed and monitoring their status until appropriately reclosed. • Liaising with the Accounts Department on ledger balances and reopened files. • Managing the Deed Database and handling client requests for Wills and Deeds. • Collaborating on file destruction requirements according to firm procedures. • Maintaining confidentiality and data protection standards at all times. • Performing any other duties as reasonably required.
Requirements: • Experience in archiving within a law firm is beneficial. • Strong IT skills, particularly with Excel and case management systems. • Understanding of the legal environment, particularly client matter lifecycle processes. • Awareness of Lexcel standards and risk/confidentiality considerations. • Excellent time management and the ability to adapt to changing priorities. • Strong attention to detail and ability to work independently and as part of a team. • Manual handling skills, as the role involves lifting boxes and heavy files. • Strong interpersonal skills, with a courteous and service-orientated approach.
