Overview

PIMCO Human Resources is seeking a highly organized and detail-oriented individual to join our People Operations Team as an Associate. In this role, you will manage employee inquiries, support hiring and onboarding processes, and ensure smooth HR operations while providing exceptional service.

You will also participate in projects to implement HR technologies like Workday and ServiceNow, improving HR processes and programs. These projects will enhance your HR knowledge and offer growth opportunities.

Responsibilities
  • Employee/HR Client Inquiry Case Management: Respond to employee inquiries and HR client requests and provide timely and accurate resolutions to their questions related to HR policies, benefits, payroll, and other HR-related matters. Act as an escalation point for more complex employee inquiries and provide guidance to others on these issues. Maintain a case management system to track and document employee inquiries and resolutions
  • Employee Support: Provide essential, thoughtful, accurate, and timely support to address individual HR needs of employees and managers, in line with PIMCO's policies. Champion exceptional employee service by creating the best possible experience throughout the employee lifecycle. Deliver inquiry-related data and insights on themes to improve the overall employee experience
  • Hiring Process Support: Coordinate the end-to-end onboarding process for new hires, including communicating with new hires and hiring managers, conducting background checks, partnering with Employee Relations to adjudicate issues, liaising with external vendors through visa sponsorship, managing documentation, managing regulatory requirements, and completing Right to Work Checks. Provide a best-in-class onboarding experience by ensuring system and technology readiness for new hires and completing relevant processes in PIMCO's Human Capital Management (HCM) system, Workday
  • Talent Acquisition Support: Provide day-to-day support to the Talent Acquisition team, including ATS training and troubleshooting of issues. Create and maintain supporting documentation
  • Data Management: Process transactions across HR systems and ensure data quality is maintained. Maintain accurate and up-to-date employee data in HR systems, ensuring data integrity and confidentiality. Generate reports and analyze data to identify trends and areas for improvement
  • Process Improvement: Identify process improvements and manage projects from conception to implementation. Work globally and cross-functionally to improve efficiency and consistently execute on all HR business processes. Gather and synthesize information from multiple parties to drive process improvements
  • Content Management: Collaborate with process owners and subject matter experts (SMEs) to create and review HR business processes as well as managing the documentation of end-to-end workflows and process requirements. Ensure that content documentation is accurate, organized, up-to-date, and easily accessible to relevant stakeholders
  • Policy Compliance: Understand and execute on PIMCO's end-to-end HR business processes and policies, including but not limited to those related to global benefits, mobility, payroll, and timekeeping. Stay up-to-date with HR policies, procedures, and legal requirements to ensure compliance. Assist in the development and implementation of HR policies and procedures as needed
Requirements
  • Bachelor's degree in Human Resources, Business Administration, or a related field from an accredited university
  • 2+ years of experience in HR operations or Shared Services, employee/HR client inquiry case management, and/or hiring and onboarding
  • Experience with SMCR (Senior Manager Certification Regime)
  • Knowledge of HR systems such as Workday and/or ServiceNow, Qvidian with an affinity for technology, ability to think with a "tech approach," and interest in HR technologies
  • Strong knowledge of HR policies, procedures, and employment laws
  • Excellent communication and interpersonal skills, with the ability to effectively interact with employees at all levels of the organization
  • Exceptional attention to detail, organizational skills and immaculate follow up
  • Ability to handle sensitive and confidential information with discretion
  • Strong problem-solving and analytical skills
  • Ability to work independently and as part of a team in a fast-paced environment
  • Proactive, results driven, open to feedback and overall a collaborative colleague
