We are working with an award-winning global business to source an experienced Personal Assistant to support their two founders. This is an exciting opportunity for an experienced PA to join a highly established and successful business based 30-minute drive north west of Glasgow, Scotland. As a right-hand to both Founders, you will provide first-class support to ensure their working lives run smoothly at all times. A family business, you will also support the founders with their private lives, such as booking travel, events and general personal admin.

Offering a professional and driven yet relaxed and down-to-earth environment - you will join a welcoming, ambitious and hardworking team. You will be highly organised, have excellent attention to detail, be able to work with autonomy and be a self-starter.

Usual office hours are Monday to Friday 9am to 5pm - please note that this role does not offer hybrid working. In addition to the salary, there are excellent perks, including discretionary bonus and pension.

DUTIES TO INCLUDE:

Operational

  • Compose & send out introduction and follow-up emails
  • Compose general correspondence
  • Full diary management
  • Organising meetings
  • Managing several mailboxes
  • Dealing with both work and personal mail
  • Sending out comms on behalf of CEO
  • Meeting and greeting visitors/customers
  • Ensuring smooth running of any visits
  • Dealing with all bookings internal for meeting rooms
  • Summaraising bank statement on a monthly basis
  • Arranging travel, visas and accommodation where necessary for CEO and other staff
  • Co-ordinating Christmas cards & gifts
  • Arranging Christmas party

Office

  • Ensuring the smooth running of the office
  • Ensuring office has supplies at all times
  • Making sure the office is clean & tidy
  • Liaising with landlord on repair work and any office work required, or for office FOBS and keys
  • Liaising with office contractors/suppliers as appropriate

Events

  • Arranging events and dinners when required
  • Making invites and maintaining an invite list
  • Booking rooms etc
  • Co-ordinating football matches, guests, travel

HR/Staff

  • Arranging references for new members of staff
  • Annual leave calculations
  • Tracking of annual leave and out of office appointments etc
  • Dealing with office tracker

Personal

  • Supporting other members of family
  • Helping with birthday events
  • Dealing with trips for the children
  • Vehicle admin - documents, servicing, insurance, repairs etc
  • Dealing with utility agreements for all properties
  • Liaising with agents
  • Dealing with all bank accounts

Additional

  • First aider & fire marshal
  • Mental health fire aider

ESSENTIAL CRITERIA:

  • Prior PA or EA experience in a similar role
  • Live within a commutable distance - office located 30 minutes drive north west of Glasgow
  • Highly organised
  • Excellent attention to detail
  • Strong interpersonal skills
  • High level of initiative and the ability to work autonomously
  • Excellent checkable references
