Personal Assistant/Receptionist

We are seeking a highly organised and professional Personal Assistant/Receptionist to support our CEO and board directors. This dual role requires a candidate who can manage a variety of administrative tasks, from handling correspondence and managing complex calendars to greeting visitors and maintaining office security. The successful candidate will be the primary point of contact for on-site visitors and incoming general telephone enquiries, ensuring a welcoming and professional experience.

Day-to-day of the role:

As a Personal Assistant:

  • Screen and direct phone calls, manage correspondence, and handle incoming call queries.
  • Maintain and manage complex calendars, schedule meetings, and arrange appointments for optimal time management of the CEO’s schedule.
  • Coordinate corporate travel arrangements and itineraries, including hotel bookings and visa applications.
  • Provide meeting support, including minute taking, assisting with reports, and preparing presentations.
  • Manage the company’s fleet, including sourcing vehicles, monitoring mileage and emissions, and managing insurance and driver eligibility.
  • Administer and maintain the company’s intellectual property records.
  • Organise high-level events and manage logistics for business meetings, coordinating with hospitality contacts.

As a Receptionist:

  • Greet and welcome visitors, ensuring a professional first impression.
  • Answer, screen, and forward incoming calls.
  • Prepare meeting rooms and order external catering as required.
  • Administer expenses and petty cash, and maintain office security by following safety procedures.
  • Develop and maintain relationships with key industry figures for networking and corporate visibility.
  • Receive and distribute incoming mail and deliveries, and order office stationery supplies.
Required Skills & Qualifications:
  • Previous experience in a similar role is essential.
  • Ability to manage confidential information with integrity.
  • Familiarity with office management systems and procedures.
  • Proficiency in MS Office with excellent written and verbal communication skills.
  • Exceptional organisational and time management skills, with strong attention to detail.
  • Capable of managing own workload and confident in liaising at all levels within the business.
  • Flexible approach with the ability to switch between tasks and services as required.
  • Detail-oriented with a proactive approach to problem-solving.
