Brief Overview
We’re looking for an enthusiastic team player to work within our planning business team. The Planning Business Support Officer will work closely with the Planning Business Team Leader to ensure that the operational objectives of the planning service are met within the Planning Business team. This is a broad role and the post holder will be organised and efficient, with excellent communication skills, an eye for detail and the ability to prioritise workload. A desire for order and the setting and maintenance of high standards would be a bonus.
Job purpose
The purpose of the role is to offer administration support to the planning service. The role will be part of the Planning Business Support team and the post holder will undertake a variety of vital and comprehensive tasks to ensure that teams meet their targets and can run efficiently. The post holder will assist with service plan implementation, service standards and targets. All tasks to be carried out in accordance with prescribed regulations and service standards
Main duties and responsibilities
• Work with the Tree Officers to monitor Tree Preservation Order (TPO) replacements. Deal with TPO objection/support letters
• To order stationery across the service
• Order and maintain record of personal protection equipment across the service
• Manage subscriptions and software licenses & arrange training across the service
• Working with the Business Support Team, transferring and downloading applications received via an online portal and email to an internal document drive, recording of correspondence and key statutory processes on a back-office database, monitoring the general team registration mailbox and logging consultation responses relating to planning applications
• Assist with Planning Committee for both councils by preparing the agenda, sending out letters and preparing the speakers list. Arrange site visits for Planning Committee members, preparing the presentation and attending the meeting
• Provide administrative support for the planning appeals function, including, but not limited to carrying out notifications of appeals to interested parties, raising purchase orders, setting up cost codes using Unit 4 for monitoring of appeal associated costs, booking venues to host inquiries and hearings, issuing and circulating appeal decisions
• To raise purchase orders and sales orders on the Council’s financial management system (Unit 4) as requested, to confirm invoices for payment, to code non-purchase orders, check invoices are paid, deal with invoice queries, set up new suppliers using Agresso, keep records and produce reports as required. Work with Officers to ensure purchase orders are kept up to date
• To identify and raise issues for review
