The Company:

Our client provides tailored engineering solutions to the offshore energy industry. With fantastic industry experience and knowledge they offer a single point of contact for complete project solutions from inception through to successful project delivery. These projects are within the Renewables and Oil & Gas sectors.

The Role:

On their behalf we are seeking a Travel & Project Administrator. This role is to assist the operations team in the delivery of projects through the provision of administrative, logistical, planning, financial and other support services ..

Responsibilities within this role will include:

  • Coordinating and taking/disseminating minutes of operations and other project meetings as required.
  • Arranging shipping of project equipment and supplies as required through couriers and shipping agents.
  • Developing, implementing and maintaining effective administrative processes and procedures to improve the efficiency of project administration.
  • Collating the weekly report contributions from Project Managers and distributing as required.
  • Liaising with the HSEQ Manager in regards to project safety and health matters such as issue of PPE and operational clothing.
  • Providing administrative, planning and financial support to the Project Managers and other Operations team personnel.
  • Updating and maintaining the project trackers
  • Monitoring and reporting external influences that may impact on a project to the relevant Project Manager.
  • Liaising with the Resource and Operations teams with respect to the personnel tracker and travel arrangements.
  • Arranging travel and accommodation for all operations personnel including internal staff and contractors as required.
  • Coordinating the application of visas for all personnel, including internal staff and contractors.
  • Updating and maintaining the travel log, calendar and filing system.
  • Maintaining traveller profiles for all personnel.
  • Completing the monthly reconciliation of statements.

The Person:

For this role our client is looking for an administrator who has had some experience with booking travel.

As well as this they are looking for someone who is or has:

  • Strong numerical and Microsoft Office skills.
  • Eye for detail
  • Ability to prioritise workloads, coordinate and organise all administrative tasks and requirements of the stepped process of project preparation, procurement, audits, HIRAs, kick offs, execution, delivery and financials
  • Excellent communication and negotiation skills for working with clients, project teams, offshore teams, subcontractors and suppliers as well as internal staff and contractors.
  • Ability to work effectively with all documentation in conjunction with others.
  • Ability to work on your own initiative
  • Ability to work under pressure, motivate and suggest continuous improvement.
  • Be willing to work and travel in-country and overseas as may be required from time to time.

The Salary:

£25,000

The Location:

Central Bristol, no car parking

The Hours:

Monday - Friday 8.30am - 5.30pm (working from home on Wednesdays and Friday after probation)
