We are seeking a diligent Purchase Ledger/Finance Assistant to join a wonderful school in West London. The successful candidate will be responsible for managing the purchase ledger, ensuring the timely and accurate processing of orders, invoices, and payments. This role requires a keen eye for detail and the ability to maintain strong relationships with suppliers and staff.

This is a Term Time + 4 weeks (40 weeks in total) role, and the actual is £23,000 - £26,000 depending on experience (full time equivalent £30,000 - £34,000)

Hours are 8.30am - 4.30pm (with flexibility to work 8am - 4pm if needed) and is a fully office-based role, so please ensure you can commute to Hammersmith on a daily basis.

Day to Day of the role:
  • Place orders for a wide range of goods and services, ensuring quality and cost-effectiveness.
  • Monitor orders to guarantee timely deliveries and handle queries from suppliers and staff.
  • Inspect goods received for quality, arranging returns for damaged or faulty items when necessary.
  • Maintain accurate supplier details and a list of preferred suppliers, securing discounts where possible.
  • Reconcile invoices to purchase orders and input them into the accounting system, ensuring accuracy and completeness.
  • Reconcile supplier statements to the Purchase Ledger and address queries related to invoice payments.
  • Maintain stock control of stationery and prepare monthly reconciliations of school credit card statements.
  • Organise transport for trips and sports fixtures, and manage bookings for training courses and subscriptions.
  • Support the Finance Manager with financial administration tasks, including the processing of cheques and banking of cash from charity events.
  • Manage Income and Expenditure accounts for all school trips and perform general office duties, including mail management.
Required Skills & Qualifications:
  • Proven experience in a purchase ledger or similar financial role.
  • Strong organisational skills with the ability to multitask and meet deadlines.
  • Excellent communication skills, both verbal and written.
  • Proficiency in using accounting software and MS Office, particularly Excel.
  • Attention to detail and problem-solving abilities.
  • Ability to work independently and as part of a team.
  • Knowledge of financial regulations and accounting processes.

The ideal candidate should be calm, detail-oriented, personable, and able to handle a busy environment. Experience in a school setting is beneficial but not mandatory.

The goal is to have someone in place by the week of August 26th. Interviews will take place the week of 22nd/29th July.
