Our client is boutique architecture practice, who are based in the bustling Farringdon/Clerkenwell area. They have recently won a large project and are looking to bring on a Document Controller/Office Manager to ensure a smooth delivery.

Working with the team of architects and designers, and supporting the Director you will be the go to person for all project coordination and office administration.

They are open to the role being full time or part time (minimum 3 days per week) and offer hybrid working.

Key Responsibilities

  • Document control - liaise with Project Architect to control the numbering, filing, sorting, issue and retrieval of electronically stored or hard copy documentation
  • Externally: managing project extranet use and other document exchange systems
  • Liaising with the Quality Manager to help improve and maintain office management systems in accordance with ISO9001 systems and GDPR
  • Assisting preparation of documents using MS Office and/or Adobe Creative suite
  • Assisting in co-ordination of third party input into documents
  • General administration including meeting and greeting, ordering supplies, etc
  • Carry out facilities management for all office facilities and equipment
  • Liaise with external IT service provider to provide "on the ground" assistance
  • Assist in inducting and training staff in use of all systems
  • Liaise with marketing and bid team to provide assistance on preparing and managing marketing collateral and bid submissions
  • Manage events and awards diary and liaise with management team on attendance
  • Liaise with client PR & Comms teams as required for permissions
  • Arrange photography of completed projects.

Skills and Experience

  • Prior experience with document control and project support is essential, ideally within architecture/construction
  • Experience with general admin and facilities assistance
  • Knowledge of document control systems including Aconex
  • Ability to use Microsft Office adn Adobe Creative Suite, nameley InDesign
  • Strong attention to detail
  • Willingness to take on adhoc tasks where needed
