The Role

At Everflow, we're looking for someone to join our People & Culture team, taking on the pivotal role of Receptionist and Executive Assistant. This position is at the heart of our business, ensuring our office operates efficiently and providing essential support to our Executive team.

This role is an exciting opportunity to be at the core of Everflow's operations, ensuring our office is not just a workplace, but a welcoming hub for all.

Please note, this is an office-based role and the successful candidate will be required to work full time from our HQ in Peterlee.

What you’ll be doing
  •  Offer a warm welcome to all visitors, creating a positive atmosphere from the moment they arrive. 
  • Handle the visitor process, including sign-in procedures and issuing passes as needed. 
  • Coordinate the facilities inbox, directing requests to the appropriate person and ensuring timely resolution. 
  • Ensure office functionality by managing supply orders, coordinating food deliveries, and keeping communal areas tidy and stocked.
  •  Efficiently manage incoming and outgoing mail, packages, and deliveries.
  • Play a key role in organising employee events to bolster our company culture.
  • Coordinate diaries for Executive Committee and Board meetings, ensuring seamless scheduling.
  • Prepare and manage documents, reports, and presentations for the Executive team.
  • Arrange logistics for Executive Committee Away Days, including accommodations, dining, and meeting spaces.
  • Organise senior leadership and company-wide meetings, including agenda creation and content coordination.
  • Conduct research and gather information to support executive decision-making.
  • Maintain the utmost confidentiality and discretion in handling sensitive information.
  • Manage travel bookings and logistics for external meetings.

  • A positive attitude and strong multitasking abilities, with the ability to prioritise tasks effectively and say ‘no’ when needed.
  • A keen understanding of creating a welcoming environment and fostering a positive work experience for all employees.
  • Proficiency in utilising technology for effective communication across the organisation.
  • Flexibility to adapt and grow with Everflow as the company expands.
  • Some admin experience would be advantageous but not essential.
