Summary - Sales / Procurement Coordinator

This is an integral role within TWM (Pilot Group), located at Trafford Park Manchester, you will be providing operational support for the entire business, mainly within, however not limited to the sales and procurement functions.

The main purpose of this role is to support TWM during this exciting period of growth, through combining your experience with the existing team, to be open, honest and approachable.

Reporting to the Production and Planning Manager with a small and friendly team, you will be developing and implementing sustainable long-term processes and procedures, with the Head of Operations, to enable the delivery of exception customer service, to both internal and external customers, by being pro-active in your approach. You will be given the autonomy to make decisions and help shape future of our business.

Key Responsibilities

  • Support the Sales Team with all customer communications and requirements in relation to creating quotes for products, services, and repairs. Ensuring prices are accurate.
  • Process sales orders in a timely manner using Sage 200.
  • Utilise and build relationships with key customers and suppliers to ensure we maximise their value and expertise.
  • Accurately prepare quotes ensuring all information required as part of the sales order process is captured to enable smooth transition to purchase from the correct supplier, feeding through to production to enable OTIF delivery.
  • Pro-actively confirm with client what they have ordered prior to production and respond to direct telephone and incoming customer enquiries, in a professional manner.
  • Create any documentation regarding the duties your manager gives you and provide you own expertise to the development of this role.
  • Provide after-sales support to retain customers, through outbound calls following delivery, building strong client relationships, through regular communication.
  • Ensure prompt and accurate answers to both client and supplier queries.
  • Report on the status of accounts, identifying risk and reviewing late payments with your manager.
  • Undertake relevant training to enable full completion of duties.
  • Ensure supplier and customer pipeline is up to date and accurate.
  • Other duties maybe allocated by your manager to suit the needs of the business.
  • Sage 200 experience desirable, but use of other software systems will be considered.
  • Proficient with Microsoft 365. Outlook and Teams. Advantageous Excel, Word, SharePoint experience.
  • Knowledge of Sales Force software would also be advantageous.
  • Excellent interpersonal skills with the ability to establish credibility and build relationships with Senior Managers and other internal and external parties.
  • Excellent attention to detail and a high level of accuracy in all areas of work.
  • A proactive Self-starter with the ability to approach and resolve challenges.
  • Ability to learn new skills quickly including adopting new processes and technology.
  • Able to think on your feet and adapt to different situations.
  • Possess fantastic organisational and time management skills.
  • Must feel comfortable working in a fast-paced, reactive office environment.
  • Full-time role with a good approach to working as part of a cross functional team.
