Job Details:

  • Salary: £15ph+ depending on experience
  • Contract Type: Permanent part time (hours to be discussed in interview)
  • Location: In person - Huntingdon Office, plus work from home for administration
  • Hours: Approx. 8 hours per month. You must be available for Trustee meetings held in the evenings once a quarter and occasional ad hoc meetings or administrative duties.

  • The nature of the Secretary to the Board of Trustees at Cambridgeshire Deaf Association (CDA) may evolve based on the organisation's needs. You may be called upon to take on additional administrative, technical, or strategic responsibilities. This flexibility allows the role to adapt to the dynamic requirements of supporting a growing and impactful organisation.

Main Job Purpose:

  • As the Secretary to the Board of Trustees at CDA you will support the organisation's mission and objectives.
  • You will work with the CEO and Board of Trustees to provide administrative assistance where required to ensure the smooth functioning of CDA. Your responsibilities will align with the organisation's goals and objectives.
  • You must be able to work under your own initiative, manage deadlines and be proficient in minute taking, and be able to turn meeting minutes around quickly.
  • The ability to remain impartial, comply with data protection and maintain strict confidentiality is essential.
  • It is essential for you to be available during the evenings on specified dates for Trustee meetings, and be committed to these dates. You will be required to commute to our Huntingdon office for these meetings.
  • Some of the role will be home based (although flexible if you would like to work in one of the offices) so you will need access to the internet. You will be supplied with a laptop.
  • The home based element of the role will be to complete your administration tasks, monitor and action any emails along side your general duties.
  • BSL would be an advantage, although not essential to the role.

Main Duties & Responsibilities:

  • Coordinate and schedule meetings, prepare agendas, and ensure timely distribution of materials.
  • Record accurate minutes during meetings and circulate them to trustees promptly.
  • Assist in the coordination of trustee events and activities.
  • Manage general administrative tasks, including filing, data entry, and document organisation.
  • Handle correspondence and communications on behalf of the Trustee Board as and when required.
  • Maintain an organised filing system for Trustee related documents.
  • Monitor and manage the Trustee email account, prioritise and respond to emails promptly, especially those requiring urgent attention.
  • Inform trustees promptly of any emails that necessitate urgent decisions or actions.
