The Secretary Role:

The incoming Secretary will be responsible for:

  • Providing accurate secretarial support, including audio and copy typing, and re-formatting documents as required
  • Compiling complex reports using templates
  • Reception duties: answering telephone calls, taking messages, meeting and greeting visitors, and providing refreshments
  • Data entry into the document management system, including raising purchase orders and fee invoices
  • General housekeeping, ensuring the office space is tidy, arranging service calls for IT and office equipment, and maintaining notice boards
  • Ordering office supplies, stationery, coffee, milk, fruit, and refreshments for meetings
  • Booking accommodation
  • Managing absences and holidays to maintain the effectiveness of the support services team
  • Supporting the office and team with any other reasonable tasks, including arranging staff events

The Secretary

The successful candidate will possess:

  • Flexibility to handle a range of tasks
  • Document formatting skills
  • A professional telephone manner
  • Good knowledge of Microsoft Word, Excel, and PowerPoint
  • Compliance with management systems and policies, including Core and inter-related IT Systems
  • A willingness to learn new skills and a proactive, can-do approach
  • Strong capability with technology and embracing new systems
  • Excellent administration, communication, and organizational skills
  • The ability to prioritize tasks effectively
  • Reliability and the ability to use initiative
  • The ability to work independently and as part of a team
  • Attention to detail and confidentiality
