I am looking for a Senior Global Mobility Administrator to join one of our leading defence clients.
Reporting to the Global Mobility Specialist, this role will play a pivotal role in their small and cohesive Global Mobility team. As the Global Mobility Administrator, you will be responsible for the administration and support of the delivery of the Global Mobility programs as part of the Reward Team.
Role Responsibilities
• Monitor the Global Mobility email inbox (as well as individual mailbox), answering queries promptly and escalating where appropriate.
• Coordination of assignee and permanent transfer onboarding activities including travel arrangements, pre-travel medicals, relocation and settlement assistance.
• Provide administrative support to the Global Mobility Specialist for cyclical projects, such as reviewing tax authorisation lists, tax data collection, year-end tax reporting and bonus/LTI pay outs for expatriates.
• Liaise with various internal and external stakeholders as required regarding payroll, employee benefits, security applications and relocation activities.
• Administration of the international medical plan – addition of new members and deletions in line with assignment dates.
• Contact employees to arrange payments and reimbursements relating to their assignment.
• Support UK immigration processes for UK - inbound assignees and transfers.
• Support the development and revision of company immigration and global mobility policies, procedures, and documents.
• Process invoices and other payments and liaise with third party vendors and internal Finance on payment queries.
• Use various systems and spreadsheets to produce regular and ad-hoc reports.
• Maintain trackers and monitor end dates of international assignments, social security certificates and visas.
• Manage share point site and connect pages.
• Provide other ad hoc administrative support to the Global Mobility Team, as required.
Typical Knowledge, Skills and Qualification Requirements
• Experience in Global Mobility administration preferred but not essential.
• Strong Microsoft Office skills especially in Power point and Excel skills, with experience in V-lookups and Pivot tables.
• Highly developed interpersonal skills and ability to develop effective working relationships across different stakeholders.
• Strong organizational skills to handle multiple tasks and prioritise work effectively.
