Temporary Executive Assistant - Financial Services / £180 per day

We are currently looking to recruit a solid temporary Executive Assistant for one of the largest Real Estate managers in the world, based in the West End of London. In this role you will be providing business support to a small team of executives based in the United States within a Global Development Business Team.This role has a hybrid working model with 2 days in the office and 3 days remote. This is a 6 month temporary role.

As a proactive and determined professional, you will integrate seamlessly into the team, demonstrating your capabilities through collaboration, ownership, and innovative thinking.

Key Responsibilities:

General EA Duties:

  • Manage executives' schedules via Outlook, including booking meeting rooms and coordinating meetings and conference calls.
  • Organise international travel arrangements, including flights, accommodation, and transport, creating detailed itineraries.
  • Oversee logistics for client events and product roadshows.
  • Submit and reconcile expenses, handle currency conversions, and liaise with Accounts.
  • Resolve technical or mobile device issues with the IT department.
  • Maintain organised filing systems for correspondence and client-related materials on shared drives or in the CRM database.
  • Handle tasks such as scanning, printing, and binding documents and marketing materials.

Client Relations:

  • Organise client meetings and product roadshows, prepare and update marketing materials, and liaise with Portfolio Managers and Compliance.
  • Document and circulate notes from client meetings, and ensure they are logged properly.
  • Address requests or comments from client meetings and ensure any further materials are sent as needed.
  • Update marketing/client monitoring forms in Salesforce, including Sales Reports and client meeting summaries.
  • Assist in organising client events and conferences.

Client Database:

  • Maintain and update client information in Salesforce, ensuring it is always current.
  • Gather client intelligence from business news, meeting notes, and relevant information to enhance the client database.
  • Handle client correspondence, campaign updates, proposals, marketing material submissions, and meeting notes logging.

Qualifications:

  • Proficient use of Salesforce is essential
