Trip and Student Service Desk Administrator
Immediate start - 22nd July
Salary: £13 p/hr
Location: Cheltenham

Our client is seeking a candidate with exceptional communication skills to effectively engage with young people, parents, carers, and staff. The ideal candidate will excel in planning, organizing, and prioritizing their workload, using ICT confidently. Additionally, they will build constructive relationships within and beyond the school, support the school's mission, ethos, and corporate policies, and ensure compliance with Health and Safety, Equal Opportunities, and Data Protection policies. Providing a welcoming environment for visitors and callers is also essential.

Key Responsibilities:
Support Staff:

  • Organize and book trips, providing student lists.
  • Handle administrative tasks for trips, activities, and equipment/resource sales.

Support Students:

  • Act as part of the first aid team.
  • Operate the finance hatch for student sales.

Administration of Trips, Visits, and Events:

  • Manage bookings for tickets, coaches, and venues.
  • Communicate with parents, staff, and venues.
  • Ensure accurate costing and money collection.
  • Report issues to the Business Manager.
  • Oversee and manage payments on the school gateway system.
  • Comply with school protocols and GDPR.

Student Financial Services Admin:

  • Support the finance office for sales via the student services desk.
  • Assist with school gateway and dinner money queries.

Health and Safety Vigilance:

  • Follow all health and safety instructions.
  • Report any dangerous situations or shortcomings in safety arrangements.



Essential Skills & Qualifications

  • Accuracy and integrity in financial tasks.
  • Administrative experience with some financial knowledge.
  • GCSEs in Maths and English (grade C or equivalent).
  • Proficient in IT, including word processing, spreadsheets, and databases.
  • Strong interpersonal and organizational skills.
  • Ability to work independently and as part of a team.
  • Self-motivated, resilient, and able to multi-task.
  • Ability to work under pressure and remain composed.
  • Flexible and adaptable.
