Are you an organised Executive Assistant or Office Manager with extensive experience overseeing administration tasks, calendar management and travel arrangements? Are you tech-savvy and have a background identifying and assisting in process and system improvements? Want to gain experience in, or have existing experience of processing invoices, payroll and communicating financial figures to internal stakeholders? If yes, this could be the role for you!

Robertson Bell are excited to partner with this exciting international organisation as they go to market for an Administration and Finance Officer on a permanent basis. This is the ideal opportunity for somebody looking to utilise their fantastic administration knowledge in a diverse role with exposure to finance.

In this role, you will:

  • Process 100-150 transactions monthly, conduct payment runs twice a month, and manage invoices via QuickBooks and email, with upcoming implementation of a PO matching system.
  • Coordinate with a payroll bureau to set up employees and contractors, handle expenses using Expensey, and create invoices for payroll payments.
  • Organise travel arrangements for staff, manage conference logistics, and oversee significant travel expenditures, totalling approximately £130k annually.
  • Enhance financial systems, including QuickBooks and Excel, explore robust data management solutions, and integrate CRM networks for better financial oversight.
  • Engage with budget holders regularly to review financial performance, lead meetings, and provide financial insights to support decision-making.

Based in central London, this offers an extremely flexible working arrangement, requiring you to go into the office once or twice over a two-week period. Other employee benefits are also available including a generous pension and annual leave allowance.

Person Specification:

  • Open to various sectors, but experience in the not-for-profit sector is advantageous.
  • Ideal for an Executive Assistant with the ability to handle finance tasks, or an office manager with a knack for picking up financial responsibilities.
  • Looking for someone who is eager to pick up finance business partnering responsibilities.
  • Must be an independent, self-starter who is able to work in a team environment.
