TEAM ASSISTANT – ASSET MANAGEMENT
  
A global investment bank is seeking someone to join the team as a Team Assistant in the Asset Management division for 6 months!
  
TEAM ASSISTANT – ASSET MANAGEMENT ROLE:
  • Managing full diary including scheduling meetings, receiving and accommodating meeting requests, facilitating audio/visual requirements including multiple Zoom IDs, and booking meeting rooms as required
  • Booking flights and accommodation, preparing full trip itineraries, arranging/applying for visas, and submitting pre-trip approvals for travel arrangements
  • Processing travel and expense claims through Concur for expense management
  • Assisting with preparation of presentations and/or other documentation for meetings
  • Providing on-floor support for new joiners and transfers into the division: account setup, desk and locker allocation, corporate directory profile update, reporting line update, provision of office space access
  • Serving as point of contact for visitors including providing office access, registering details, booking conference rooms and catering, and organizing materials
  • Reconciling weekly timesheets and handling time entry adjustments
  • Managing space including maintaining desk and locker allocations, monitoring capacity, and escalating issues as needed, supporting divisional moves
  • Resolving IT issues through helpdesk support
  • Managing contingent worker population including onboarding, extending end dates, and updating assignments
  • Serving as point of contact for ad-hoc queries and escalating as necessary
  • Coordinating with other global divisional admins to ensure seamless support
  • Performing general administrative duties including photocopying, filing, archiving, coordinating couriers, and distributing mail
TEAM ASSISTANT – ASSET MANAGEMENT ESSENTIALS:
  • 2-3 years of experience in financial services industry, preferably in an analytical function
  • 2 – 3 years of experience as an assistant
  • Advanced understanding of Microsoft Office products with focus on Excel and Powerpoint, tools and utilities for business use
  • Willing to work 5 days in office
